Training Modules & Quizzes

A signed acknowledgement proves that an employee received a policy. A passed quiz proves that they understood it. For high-risk policies where comprehension matters for regulatory compliance, PolicySuite lets you attach a short multiple-choice quiz that employees must pass before the Acknowledge button becomes available.

What training modules are

A training module is a set of 5 to 10 multiple-choice questions written by the policy author and attached to a specific policy. When a training module is active on a distribution, employees must complete and pass the quiz after reading the policy — only then can they click Acknowledge. This creates an evidence record that demonstrates genuine comprehension, not just passive receipt.

Training modules are versioned alongside the policy. If you update a policy and re-distribute, employees will see the updated quiz questions, and a fresh acknowledgement record is generated.

Creating a training module

  1. Navigate to Policies and open the policy you want to add a quiz to.
  2. Click the Training tab on the policy detail page.
  3. Click Add Quiz.
  4. Write between 5 and 10 questions. For each question, provide four answer options and mark the correct one.
  5. Set the pass threshold. The default is 80% (for a 10-question quiz, that means 8 correct answers). For critical policies, consider leaving it at 80% — lower thresholds reduce the evidential value of the quiz.
  6. Save the module. It will be attached to all new distributions of this policy automatically. Existing distributions are not affected.

Attempt limits

By default, employees have three attempts to pass the quiz. The attempt limit is configurable per training module. After the final failed attempt, the employee is blocked from proceeding and a notification is sent to their manager, flagging that a 1:1 policy review conversation may be needed.

If an employee is incorrectly blocked — for example, due to a technical issue during the quiz — an administrator can reset their attempt count from the distribution detail view. Go to Distributions > [distribution] > [employee] > Reset Quiz Attempts.

What employees see

The employee experience is designed to be frictionless:

  1. The employee clicks their magic link and the policy opens in their browser.
  2. They read the full policy text. Once they reach the end, the quiz appears below.
  3. They answer all questions and submit. Their score is shown immediately.
  4. If they pass, the Acknowledge button appears and they can complete the process.
  5. If they fail, a message explains how many attempts remain and they can retry. Previous answers are cleared on each attempt.

The entire read-quiz-acknowledge flow typically takes five to ten minutes for a standard policy.

Quiz analytics

The Training tab on the policy detail page shows aggregate analytics across all distributions that used this quiz:

Use per-question accuracy to identify which sections of the policy employees are misunderstanding. A question that 60% of employees get wrong is usually a signal that the corresponding policy text needs rewriting, not that employees are inattentive.

When to use training modules

Training modules add friction to the acknowledgement process, which is appropriate for some policies and excessive for others. Use them for:

For routine administrative policies — travel expenses, holiday booking, office access — a standard acknowledgement without a quiz is sufficient and keeps the process fast for employees.

Tip: Low pass rates on specific questions are a signal that the policy text is unclear, not that employees are careless. Use quiz analytics to improve your policies before the next distribution cycle.
